Privacy Policy

We are committed to protecting your privacy and ensuring the security of your personal information.

1. Introduction

Stratify ("we," "us," "our") provides a learning management platform for real-estate organizations and their agents/learners. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, how long we keep it, and your rights. It applies to our website, the Stratify application, and related services (the "Services"). We are based in Toronto, Ontario, Canada. Contact: admin@stratifymlp.com.

Roles: Stratify is business-to-business. When an Organization subscribes and invites its agents/staff ("Learners"), the Organization decides what data to collect and why (the controller), and Stratify acts as a service provider processing data on its behalf. Learners should also review their Organization's own privacy notice.

2. Information We Collect

(a) Information you provide

  1. Account/profile: first name, last name, email, phone, password (hashed only), organization name, profile/avatar image.
  2. Content you provide: uploaded files, course materials, presentations, meeting recordings, comments/questions/messages.
  3. Learning/usage data: enrollment, progress, completion, certificates, badges, meeting attendance.
  4. Technical/security data: IP address and browser/device info, for security, login auditing, and account recovery.
  5. Communications: records of emails/notifications we send (invitations, verification, password resets, service notices).
  6. Payments: We do not collect your payment information (such as your credit card details); we use payment providers to manage this information on our behalf.

(b) Automatically collected information. We currently collect only limited technical data (such as IP address and device/browser information) for security, authentication, and troubleshooting, as described above. We do not currently use cookies, web beacons, third-party web-analytics, or advertising trackers. If we introduce cookies or analytics technologies, we will update this policy, publish a Cookie Policy, and provide any required cookie notice or consent options before they take effect.

(c) Information from other sources. From time to time we may receive information about you from other users within your Organization, from third-party providers or integrations you connect to your Stratify account, or where otherwise legally permitted.

3. How We Use Your Information

To provide and maintain the Services; create and manage accounts and authenticate users; deliver learning content and track progress, certificates, and badges; host virtual meetings and, where used, generate transcripts; process payments and billing; send service communications; secure the platform, prevent fraud and abuse, and audit access; and comply with legal obligations. We may also use Customer Content to operate, maintain, and improve the Services, including AI-assisted features; where required by applicable law, we will obtain consent or provide an opt-out before using personal information for these purposes. When you use AI-assisted features, content you submit is processed by third-party AI providers under their own terms, and we are not responsible for how those providers handle submitted content. We rely on your consent, the performance of our contract with the Organization, and our legitimate business interests, as applicable.

Marketing and product communications. We send certain communications regardless of marketing preferences because they are necessary to operate the Services - account verification, password resets, invitations, trial and billing notices, and other service messages. Separately, and only where you have opted in, we send occasional product updates and training tips. Marketing consent is optional, is never required to create or use an account, and is recorded separately from your acceptance of our Terms. You can withdraw it at any time using the unsubscribe link in any such email or by contacting admin@stratifymlp.com; withdrawing does not affect service communications.

4. Service Providers and Sub-Processors

We share personal information with trusted third-party service providers only as needed to operate the Services. These providers process data on our behalf, under their own terms and security obligations, and only for the purpose of providing services to us. They include providers of:

  1. hosting and infrastructure;
  2. file and media storage;
  3. payment processing;
  4. virtual meetings, recordings, and transcription;
  5. AI-assisted content and processing features;
  6. email delivery and communications; and
  7. push notifications

We may add, replace, or change our service providers at any time as the Services evolve. We require these providers to protect personal information and to use it only to provide their services to us. We do not sell your personal information. A current list of our key sub-processors is available on request.

5. International Data Transfers and Data Residency

We and our service providers may store and process personal information in Canada, the United States, and other countries where our providers operate. Our hosting, storage, and other providers may process data in multiple regions, and the specific location may change over time. Wherever personal information is transferred or stored, we take reasonable steps to ensure it is protected in accordance with applicable law.

6. How Long We Keep Your Information

We retain your information for as long as needed to provide the Services and for legitimate business, legal, and security purposes, unless a longer retention period is required or permitted by law.

Deleted content and revoked integration credentials are generally held for a limited recovery period (currently around 90 days) before being permanently removed, though these periods may change. Backups are retained on a rolling basis and overwritten over time. When an account or Organization closes, we delete or de-identify associated personal information within a reasonable period, except where retention is required by law or for legitimate business purposes. Meeting recordings are retained until the related course or meeting is deleted, after which our standard deletion process applies.

If your account is deactivated or disabled, some of your information and the content you have provided may remain so that your Organization and other authorized users can continue to use the Services.

After the applicable retention period, we will either delete your information or, where deletion is not immediately possible (for example, because it is held in backup archives), securely store and isolate it from further use until deletion is possible.

If you object to marketing communications or withdraw your consent, we will promptly stop using your information for those purposes. We may keep a minimal record of your request so we can continue to respect it.

7. Your Rights and Choices

Depending on where you live, you may have the right to: access your personal information; correct inaccuracies; request deletion; object to or restrict certain processing; and withdraw consent where processing relies on it. Learners' requests are often handled through their Organization. To make a request directly, contact admin@stratifymlp.com. We will respond within 30 days, or sooner where required by applicable law.

8. How Your Information Is Kept Secure

The security of your personal information is important to us. We follow generally accepted security standards and have adopted commercially reasonable measures to protect your personal data against accidental or unlawful destruction, loss, alteration, or unauthorized disclosure or access. We may use third-party products and services to secure or store your information. While we implement safeguards to protect your information, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.

Depending on where you live, you may have a legal right to be notified in the event of a security breach. If you have any reason to believe your interactions with the Services are no longer secure, please notify us immediately at admin@stratifymlp.com.

9. Children's Privacy

The Services are not directed to children. We do not knowingly collect personal information from children. If we become aware that a child has provided us with personal information, we will take reasonable steps to delete it. If you believe a child has provided us with personal information, please contact us at admin@stratifymlp.com.

10. Changes to This Privacy Policy

We may change all or part of our Privacy Policy from time to time to reflect our data collection practices, in case of new features involving your personal data, or as required by law. The version published on the Stratify website (https://stratifylms.com/privacy-policy) will be the most current version in force. Changes to our Privacy Policy will be effective immediately once published. We invite you to periodically review our Privacy Policy to be informed of any relevant changes, especially before providing any data to us.

Your use of the Services following any amendments confirms that you have accepted the practices described in the revised Privacy Policy. If we make any material change, we will notify you by email (sent to the email address specified in your account) or by a notice on this website prior to the change becoming effective, and ask for your consent if this is required by applicable law.
